Privacy Policy

Provida Limited ("we", "us", "Provida") complies with the New Zealand Privacy Act 2020 (the Act) when dealing with personal information. This policy sets out how we collect, use, disclose, and protect your personal information.

This policy does not limit or exclude any of your rights under the Act. For more information about the Act, see www.privacy.org.nz.


Who this policy applies to

This policy applies to all personal information submitted to or collected by Provida through our application at provida.nz (the "Application") and through the services we provide (the "Services"). This includes:

  • Practitioners - clinicians, therapists, and other health providers using the platform
  • Referrers - GPs, case managers, and other parties who refer patients through Provida
  • Network users - administrators and staff who access the platform on behalf of an organisation

By accessing the Application and using our Services, you consent to the collection, use, disclosure, storage, and processing of your information in accordance with this policy.

What information we collect

We may collect the following types of personal information:

  • Contact details - name, email address, phone number
  • Professional details - registration numbers, credentials, certifications, specialties, and availability
  • Profile information - photo, bio, location, and workplace details
  • Usage data - log-ins, device information, IP addresses, and how you use our Services
  • Publicly available professional information - such as registration details from the Physiotherapy Board, Nursing Council, or other regulatory bodies

We only collect information that is necessary for providing our Services.

How we use your information

We use your personal information to:

  • Provide and improve our Services
  • Verify your identity and professional credentials
  • Communicate with you about your account and our Services
  • Support referral and care coordination workflows within the platform
  • Conduct research and statistical analysis (on an anonymised basis)
  • Comply with legal obligations or cooperate with regulatory authorities
  • Protect and enforce our legal rights

We will not use your personal information for any purpose unrelated to the Services, or in a way that you would not reasonably expect.

Your profile and who can see it

You control most of the information on your profile - including contact details, availability, workplace, skills, and bio. You can manage your visibility settings in the Application under Settings.

Please do not add personal information to your profile that you would not want visible to other users in your network.

Network Owners

Some organisations assign users a "Network Owner" role - individuals responsible for data quality within their network. Users with this role may need to edit practitioner profiles to support network administration and data accuracy. If you disagree with a change made by a Network Owner, contact them directly or reach out to us at hello@provida.nz.

Disclosure of your information

We will not disclose your personal information to any third party unless:

  • You have given your express consent
  • Disclosure is required for the purposes for which the information was collected (for example, sharing referral information with the relevant provider)
  • We are required to do so by law or by a government or regulatory authority

Provida is a software provider - not a data broker. We do not sell your information or share it for marketing purposes.

Access to and correction of your information

You have the right to request access to the personal information we hold about you, and to ask us to correct anything that is inaccurate or out of date. To make a request, email us at hello@provida.nz. We will respond within the timeframe required by the Act.

Where your data is stored

All Provida data is processed and stored on Amazon Web Services (AWS) in their Sydney data centre. Your information may therefore be stored outside of New Zealand. AWS Sydney is subject to Australian privacy law, which has comparable protections to the New Zealand Privacy Act 2020.

If we change the region where your data is stored, we will notify all customers before that change takes effect.

How long we keep your information

We will hold your personal information for as long as you have an active account with us, or as long as we are lawfully entitled to do so. When you close your account or your organisation ends its subscription with Provida, we will delete your personal information on request, or within a reasonable period following termination.

Data security

We take reasonable steps to protect your personal information from loss, unauthorised access, or misuse. Our security measures include:

  • Encryption of all data in transit (HTTPS) and at rest
  • Two-factor authentication for access to production systems
  • Role-based access controls following least-privilege principles
  • Continuous monitoring of systems and audit logs
  • Automated daily backups with 35-day retention
  • Independent penetration testing

Privacy breaches

If we become aware of a privacy breach that is likely to cause serious harm to you, we will notify you as soon as practicable - and in any event within 24 hours for significant events. We will also notify the Office of the Privacy Commissioner where required by the Act.

Cookies and tracking

We use cookies and similar technologies to recognise your device, maintain your session, and understand how the Application is used. You can manage cookie preferences through your browser settings. Disabling cookies may affect some features.

Account security

You are responsible for maintaining the security of your account. Provida uses email-based authentication with time-limited codes. Do not share your login codes or authentication links with other people. Provida will not be liable for loss or damage resulting from a failure to keep your account secure.

Changes to this policy

We may update this policy from time to time. If we make material changes - such as collecting new types of information or changing how we use your data - we will notify you via the Application or by email before the changes take effect. By continuing to use our Services after changes are published, you agree to be bound by the updated policy.
